Clear booking rules make shared facilities feel fair. This template gives yard operators a practical starting point for arenas, paddocks, lunging spaces, and other shared resources.
Release windows
Define how far ahead each facility can be booked. Example: members may book the indoor arena seven days ahead, but peak evening slots open three days ahead to keep access fair.
Slot length and capacity
Set the standard length for each facility and whether multiple horses can use it at once. Capacity should reflect real safe usage, not just how many names fit on a calendar.
Cancellation expectations
Set a minimum cancellation window and decide whether repeated missed arrivals affect future access. Pair this with check-ins so enforcement is based on records rather than memory.
