Stable facility booking checklist.

Use this checklist before moving from WhatsApp, a whiteboard, or a shared calendar to dedicated booking software. The goal is to capture the real workflow before choosing the tool.

List every bookable facility

Include indoor arenas, outdoor arenas, paddocks, turnout spaces, wash bays, lunging areas, transport slots, clinics, and any facility that creates staff messages.

Write down the current rules

Document who can book, how far ahead they can book, when cancellations are acceptable, whether staff approval is required, and which rules are informal but important.

Map horse access

Identify where the booking depends on a specific horse or owner. Shared horses, family access, caretakers, and temporary riders are usually where generic calendars break down.

Define proof of use

Decide whether the yard needs check-ins, QR scans, staff confirmation, or reporting on missed arrivals. Bookings without usage evidence are limited as management data.
